Customer management for construction companies

Leads, quotes and follow-ups in one system, so every enquiry becomes an opportunity instead of a note on someone's desk.

CUSTOMER MANAGEMENT

Keep track of every enquiry and quote

A lot of construction companies lose jobs because nobody had time to follow up the quote (understandable when you are out on a site all day). So the first thing I do is gather every enquiry and quote in one place. That can be a proper CRM like Twenty, or I make your existing Excel or Google Sheets smarter if you would rather keep working there.

Then I build automations for the things that otherwise get forgotten:

  • Enquiries from the website or Facebook land straight in your system, so nobody has to type them up
  • The salesperson gets a reminder when it is time to follow up a quote
  • Customers who showed interest but stopped replying get a follow-up automatically
  • Emails to customers go out by themselves at the right moment

You do not have to change how you work, because I build everything around how you already do things. Less admin, and fewer deals running off.

This service is part of the Growth and Partner packages, from SEK 10,000/month. It is not sold on its own.

HOW I DELIVER IT

Five steps, from mapping to handover.

This is how the setup above gets built, step by step: the system first, then the automations. You always know what happens next and what you have in hand when a step is done. My overall process →

  1. Mapping your sales process

I start with how an enquiry actually travels through your company, not how it is supposed to.

You get: a map of where deals leak

    I do

    • Interview everyone who handles enquiries
    • Chart the route from enquiry to signed contract
    • Pinpoint where deals are lost

    You provide

    • One to two hours for a walkthrough
    • Access to today's lists and inboxes
  2. Choosing the system and the workflow

Often the Excel or Google Sheets you already have is enough, once I make it smarter. When it isn't, I recommend a proper CRM like Twenty.

    You get: an approved workflow

    I do

    • Advise on making your Excel or Sheets smarter, or moving to Twenty
    • Design the stages up to a signed contract
    • Define what you need on a customer

    You provide

    • A decision on the system
    • Your quote templates
  3. Setup and connections

This is the part that stalls in-house, so I do it rather than hand you a to-do list.

    You get: enquiries landing automatically

    I do

    • Build the workflow in the system
    • Connect the website, Facebook and email
    • Record the source on every enquiry

    You provide

    • Access to the site and ad accounts
    • Your existing customer list
  4. Automated follow-up

Follow-up shouldn't depend on someone remembering while they're out on site.

You get: quotes that are always chased

    I do

    • Set reminders for unanswered quotes
    • Set up follow-up for customers who stopped replying
    • Schedule customer emails so they go out at the right moment
    • Write follow-up templates in your tone
    • Route notifications to the deal owner

    You provide

    • How and when you want to follow up
  5. Training and handover

A system only pays off if it is used, so I train the people who will use it.

You get: a system used day to day

    I do

    • Train everyone who sells, in your own data
    • Leave a short written guide
    • Review a month in and adjust

    You provide

    • That everyone who sells joins the training

THE RESULT

Control from first enquiry to signed contract.

FAQ

Questions about customer management.

Do we need a new system if we already have a CRM?

Not necessarily. You can often get much more out of the system you already have by reviewing how it is set up and used. I only recommend switching when the system can't do what you need.

Is a CRM worth it for a small construction company?

Yes. The fewer people who handle sales, the more important it is that nothing gets lost while someone is out on a project.

How long does it take before we can use it?

You can work in the system from the setup step onwards. The whole setup, with the numbers in place and the first review, takes about four weeks, and you can see how it runs week by week.

How does customer management connect to marketing?

When every lead is saved with its source, you can see which channels win deals, not just enquiries. That is the foundation for data-driven marketing and measurement and analysis.
